Set Up Access to Multi-Instances from Workday

Explains how to set up access to multiple Adaptive Planning instances from your Workday tenant.

In a multi-instance hierarchy, the topmost parent instance can connect to a Workday tenant and allow access to the child instances below it. 

The topmost parent has no parent instance above it, but can have any number of child instances below it. Those child instances can only extend up to two levels below the parent level. The topmost parent instance can be a non-functional Adaptive Insights instance. If the topmost parent is already configured for Workday, you cannot add another parent instance above it . 


The topmost parent is not a functional instance. It is configured with Adaptive Insights for administrative purposes but has no planning data. The next level with the child instances is the planning instance.

Users with access to multiple Adaptive Insights instances can:

  • Log in from Workday and use a configured Adaptive Insights worklet to access their default instance in the linked parent-child instances. 
  • Publish plans from any Adaptive Insights instance directly to Workday 
  • Log in to OfficeConnect and Excel Interface for Planning using multiple Workday tenants.
  • Receive alerts from any Adaptive Insights instance as Workday notifications.

If you do not use multi-instances, you can still log in to your single Adaptive Insights instance from a Workday tenant. Verify provisioning set up your Adaptive Insights instance for Workday.

Before You Begin

As the security administrator, verify that provisioning has configured the following setup in Adaptive Insights:

  • The topmost parent and all child instances are set up for Workday. 
  • The topmost parent instance connects to a Workday tenant.
  • The topmost parent and child instances use the same Workday Tenant ID, Environment, UI URL, and REST URL.  

Set Up Adaptive Insights Multi-Instances for Workday

As the security administrator set up the users to allow them access to their default parent or child instance from Workday.  Depending on assigned access, they can navigate to the other instances in the hierarchy. See Create, Edit, or Delete Users for details on assigning instance access, default instance, and roles.

Setup in Adaptive Insights

Complete these tasks in Adaptive Insights:

  1. Edit your user profile to assign administrative access to the topmost parent and child instances. Assign the topmost parent instance as your default instance.
  2. Edit each user profile to assign appropriate instance access and specify the default instance and role.  

    • If you are a new customer, first run User Sync in Workday to synchronize the users with Adaptive Insights. See Sync Users with {{corp}} in the Workday Admin Guide.  After completing User Sync, edit the user profiles in Adaptive Insights to assign appropriate level access, default instance, and role.

    • If you are an existing customer, verify the level access, default instance, and roles for the existing users.

Setup in Workday

Run these tasks in Workday:

If you already ran User Sync to set up new users with Adaptive Insights instance access and roles, you can skip this step.

  1. SSO. See Run the SSO Task in Workday in the article SAML SSO into Adaptive Planning from Workday.
  2. User Sync. Navigate to Tenant Setup> Adaptive Insights > User Sign-On and run "Enable User Sign-On for Adaptive Insights". Enabling User Sign-On also enables:
    • SAML single sign-on from Workday to Adaptive Insights.
    • User sync for users who use both Workday and Adaptive Insights.
  3. Optional. Enable OfficeConnect for Workday. Allows synced users to access OfficeConnect and Excel Interface for Planning using their Workday credentials. See Setup OfficeConnect and Excel Interface for Planning for Workday
  4. Optional. Enable Adaptive Insights public APIs for Workday.  Allows synced users to access Adaptive Insights public APIs using their Workday credentials. See Making Adaptive Insights API Requests with Workday Credentials
  5. Optional. Publish plans to Workday.  Allows synced users to preview plans and generate management reporting in Workday. See Publish Plans
  6. Optional. Setup Workday Notifications. Allows synced users to access their notifications in a central location. See Steps: Setup Notifications for Adaptive Insights in the Workday Admin Guide.

Single Point of Entry and Session Timeout

After you've run SSO and run User Sync for at least one user record successfully, the Workday tenant becomes the single point of entry for user management:

  • Create and manage all Adaptive Insights users for all parent-child instances from Workday.
  • Time out all Adaptive Insights sessions based on the session timeout value in Workday. The topmost parent and child instances and all their components such as OfficeConnect and Dashboards time out their sessions as per the Workday setting. The Session Timeout setting in Admin > General Setup disables.

Deleting Synced Users

When deleting Adaptive Insights users from Workday, you cannot delete the last user because they are the sole owner at the top or corporate level. Even if user sync removes this user from the Access Adaptive Insights domain in Workday, the user remains in Adaptive Insights
