Sharing Web Reports: Changes Planned for 2020R2

Currently, you can share web reports based only on levels. All users with access to the level can run and view the report. For some organizations, shared reports are empty for some users.  For example, the versions in the report are not available to them. The empty reports are removed for these users so they don't see them. This experience varies by organization based on their instance structure.

What's Coming?

In the planned release,  you will be able to share reports by individual users and user groups in addition to levels. Users will see all reports shared with them, including any empty reports. However, when they run these empty reports, no data will display.

What Can I Do Right Now?

If your organization has reports with sensitive names or data, review the permissions for these reports so you can reassess who you are sharing your reports with.  Alternately, you can change the report names.

Current Behavior

At Greenco Enterprises, the Proposed Expenses for 2021 report is shared with the US Ops level. Jenna as an US employee at this enterprise has access to the US Ops level. She does not have access to the versions included in this report. Jenna cannot see this report.    

Upcoming Change

At Greenco Enterprises, the Proposed Expenses for 2021 report is shared with the US Ops level. Jenna as an US employee at this enterprise has access to the US Ops level. She does not have access to the versions included in this report. Jenna can now see this report but when she runs it, no data displays in the report.  

There is a change in report visibility. Although Jenna can now see the report, she still does not have access to the versions. When she runs the report, no data displays.
