Explore Reports Using Ad-Hoc Analysis

Explains how to explore cell and report data in OfficeConnect.

To explore the content in a report, use:

  • Explore Cell to view the cell details in a new window and drill into transactions. See Explore Cell Content.
  • Expand and Collapse to show or hide row or column details in context for ad hoc analysis. See Expand and Collapse Rows or Columns.

Before You Begin

Explore Cell Content

Explore Cell lets you explore the contents of a cell as populated from your Adaptive Planning online data source.  

You can:

  • View cell details such as how the value is calculated, contributing time, rollups, level, and account information.
  • View the Audit Trail report with a history of user-entered changes for the cell. Audit Trail must be enabled for your instance. 
  • Drill into transactions to run a default Transaction Detail report for the cell. Transactions must be enabled for your instance. If your instance is set up for Workday, you can drill into Workday to view transactions.

You can explore a cell when the intersection has:

  • At minimum, an account, version, level, and time applied to the cell.
  • At most, a single value appears for each element type:
    • Account
    • Time: Only one time period is allowed, such as one month, one quarter, one year
    • Level
    • Customer dimension: More than one dimension value is allowed, but must be from different custom dimension types

To explore a cell, right-click the cell and select OfficeConnect > Explore cell  from the context menu. This option is active only if you select a valid cell.

Expand and Collapse Rows or Columns 

On a row or column, expand the elements to expose the immediate underlying child elements. You can expand only parent elements that aren't time components or time contexts.  Collapse an expanded element to see only the parent. 

On expand:

  • Either child rows appear indented below the parent or child columns appear to the left of the parent
  • All formatting excluding borders or merged cells copy from the parent to all expanded child rows or columns
  • Existing Excel formulas from parent are copied in the child rows or columns
  • The parent and child rows or columns refresh with the latest data and element structure based on your model 

You can collapse only a parent row or column that has been expanded. On collapse:

  • Child rows or columns that were expanded are removed
  • The parent refreshes with the latest data

To change the default Refresh behavior, adjust the Explore settings in the workbook properties. See Workbook Properties

Expand a Single Parent on the Row

You can expand a parent element such as Revenue to see the child product and service revenue amounts. You can again expand the Product Revenue element to see the child product groups.

To expand a parent element on the row: 

  1. Select a row and apply a single parent account element. 
  2. Select a column and apply a time element.
  3. Refresh the report to view data.
  4. Select the row where you applied the parent element. 
  5. Right-click and select OfficeConnect > Expand  from the context menu. The child revenue elements appear indented below the parent. 

Expand a Single Parent on the Column

You can expand a parent time element such as FY 2020 to see the quarters. You can further expand a quarter such as Q1 to see the months in the quarter.

  1. Select a column and apply a single parent time element (absolute or relative).
  2. Select a row and apply an account element.
  3. Refresh the report to view data.
  4. Select the column where you applied the parent element. 
  5. Right-click and select OfficeConnect > Expand  from the context menu. The child time elements appear indented to the left of the parent.
  6. To collapse the expanded parent element, right-click and select OfficeConnect > Collapse from the context menu.

Expand Multiple Parents on Rows or Columns

When you expand a row or column with multiple parent elements applied, you have the following options:

  • Expand by either parent element
  • Cartesian by both parent elements

For example, you have a row where you applied the Operational Expenses account and the Engineering  level. You can:

  • Expand by account only to see all child operating expenses for the parent account.
  • Expand by level only to see all child engineering levels for the parent level.
  • Expand by both account and level. This lets you see all the intersections of the first level children of Operational Expenses with the first level children of Engineering. 

To expand multiple parent elements:

  1. Select a row or column that has multiple parent elements applied.
  2. Right-click and select OfficeConnect > Expand from the context menu.
  3. Use the arrows to reorder the elements as you want to expand them. For example, if you order versions before accounts, versions is expanded first on the grid followed by accounts.
  4. Select the elements to expand and click OK. Hold down Shift to select multiple elements.
    New rows or columns are indented below the parent. 

Identify an Expanded Element from the Review Tab

To identify an element that is part of an expansion from the Review tab:

  1. Select a single a row or column that is part of an expansion .
  2. In the Reporting pane, select Review.
  3. Notice the expansion [+] icon next to it.

Actions that Disable a Parent-Child Hierarchy

The following actions disable a parent-child hierarchy. 

  • You delete any parent within a hierarchy.
  • Child elements are no longer contiguous.  You inserted rows between children or between the parent and children.  
  • The metadata for the parent and children does not match. For example parent is Current Assets but children are now Engineering.
  • The parent is an unknown element either because you cannot access it or because it was deleted.
  • You group elements that are already part of an expansion.
