Publish Plans

Describes how to publish plans to Workday.

A plan, for publishing purposes, is one or more Adaptive Planning sheets in a version containing a range of dates, levels, accounts, and dimensions. When you publish a plan, you send the data and metadata of an Adaptive Planning plan version into Workday as a draft.

How it Works

Before you can publish, a Plan Administrator in Workday first builds a plan structure and creates plan templates. These plan templates contain start and end dates that line up with Adaptive Planning version start and end dates. When you publish a plan, that plan becomes a draft based on the templates in Workday. Within the Adaptive Planning Version Admin page, an administrator selects the version to publish from, then selects what plan type can publish from that version. You can publish a version as one of these plan types:

  • Financial
  • Headcount
  • Workforce Action

Anyone with one of the plan type publish permissions can access to the the Publish Plan link in the main Adaptive Planning navigation. The Publish Plan page lists all of the publishable versions and their publishing status. The publish history shows what the current user published. To publish a plan, select a Planning Version and the Workday Plan it publishes to, then select Publish.

After you publish, the Publish History records the:

  • Publish Date
  • Type
  • Published Version
  • Plan
  • Modeled Sheet containing positions for Workforce Action Plans
  • Status
  • Publishing details

The history shows the most recent Publish Date at the top. You can sort by the other columns by clicking the column headers. 

Before You Begin

  • Required Permissions: Publish (plan type) Into Workday. If your instance uses access rules for security, you must have access to all secured dimension to publish plans.
  • Provisioning must complete the Workday tenant settings for your Adaptive Planning instance.
  • Complete the user synchronization with Workday.
  • Set up the Workday Data Source in Integration and load the account and dimension metadata from Workday.
  • Map your Adaptive Planning accounts to their corresponding Workday accounts in your Workday External System Headcount and FTE prompts.
  • Set up any Import Mapping Overrides, Export Mapping Overrides, or Ignore on Export settings in your Workday External System to control where specific accounts publish and aggregate.
  • Verify a Workday Plan Administrator built your Workday plan structure and plan templates.
  • Verify new domains and business process types are enabled and configured in Workday.
  • For Workforce Action plans, verify the modeled sheet you select to publish from indicates the new hire rows with a dimension value.
  • Verify that the Adaptive Planning plan version you want to publish has the appropriate Publishing Access settings within the Version Admin page.

Publish a Financial Plan

Required Role Permission: Publish Financial Plan into Workday

Financial plans publish into Workday Core Financials.

  1. Select Financial for the plan type.
  2. Select a Planning Version. Only versions with the setting Publishing Access > Financial Plans show up in the list.
  3. Select a Workday Plan to publish to.
  4. Map your Adaptive Planning dimensions to their corresponding worktags in Workday.
  5. Select Publish.
  6. Select Refresh above the history to check on publish progress.
  7. Continue to the Resolve Publication Status Issues section if publication fails or if you receive warnings.

Publish a Headcount Plan

Required Role Permission: Publish Headcount Plan into Workday

  1. Select Headcount for the publish type.
  2. Select a Planning version. Only versions with Publishing Access show up in the list.
  3. Select a Plan to publish to. A plan is a draft template.
  4. Map your Adaptive Planning account to the corresponding accounts in Workday.
  5. Select Publish.
  6. Select Refresh above the history to check on publish progress.
  7. Continue to the Resolve Publication Status Issues section if publication fails or if you receive warnings.

Publish a Workforce Action Plan

Required Role Permission: Publish Workforce Action Plan into Workday

A Workforce Action Plan, for publishing purposes, is a set of modeled sheet rows with specific dimensions indicating positions for new hires. When you publish, you select a version, a modeled sheet, and the dimension indicating new hire positions. Those new-hire rows become part of a Workday plan template draft.

  1. Select Workforce Action for the plan type.
  2. Select a Planning Version. Only versions with the setting Publishing Access > Workforce Action Plan show up in the list.
  3. Select the Source Model Sheet you want to publish publish from. This sheet should include the new hires that you plan to create positions for in HCM.
  4. Select Configure Filter to set up filters using columns, operators, search terms, and groups for your Source Model Sheet. Filter the sheet for only the set of positions you want to create for the near-term as new hires for this plan.
  5. Select a Plan that is in Draft status you want to publish the new positions into for down-stream HCM users. 
  6. Select Configure Mapping to map your Adaptive Planning dimensions to their corresponding worktags in Workday.
  7. Select Publish.
  8. Select Refresh above the history to check on publish progress.
  9. Continue to the Resolve Publication Status Issues section if publication fails or if you receive warnings.

Resolve Publication Status Issues

  1. Select the Details link in the Plan History for a failed plan publication to view the Process Manager in Workday.
  2. Select the Messages tab to read about the worktags encountering publishing issues.
  3. Make any needed adjustments to your plan and retry publishing.
  4. Select Refresh above the history to check on publish progress to verify publication status completes.
