I Created A New Child Account And The Data Has Moved. What Happened?

This article includes suggestions and workarounds. Content may not be accurate for all use cases or represent best practices for the latest release.

Question

I created a new Child Account and my data moved. Why did this happen?

Answer

Data cannot be stored in Parent Accounts. When you create a first Child Account, any data in the Parent will drop to the first child Account.

  • For example, let's say that we have this sample Expense account:

ACCOUNT 1 - $100,000 in Mar 2012

We then update our structure to this:

-ACCOUNT 1

--Account 1A

  • Account 1A is now a child account of ACCOUNT 1.

When we view our P&L sheet, we see that the $100,000 in ACCOUNT 1 has now moved to Account 1A.  Since data cannot be stored at parent account levels, it is intended behavior for the data to drop to the first child account. You have two options:

  1. You can delete the child Account 1A. The $100,000 will automatically display in ACCOUNT 1 again.
  2. You can set up your structure like this (if you need to plan at the ACCOUNT 1 level):

-ACCOUNT 1 Rollup

--Account 1 Child

---Account 1A
