Set Up Workforce Planning with Workday HCM

Introduces you to the high-level steps of setting up  workforce planning with Workday HCM, including links to in-depth articles.

Workforce planning is a Adaptive Insights instance that uses your Workday HCM data. The model foundation includes dimension and data loaders, top-down and bottom-up modeled sheets, dimensions, and formulas.  

Before You Begin

Changes you make to the model's structure can destroy the underlying logic. See Workforce Planning Model Components.  

Some links in this article go to the Workday community. If you don't have a community account, request one.

The workforce planning instance is separate from your Adaptive Insights financial planning instance. To get started:

  • You must contact your Customer Success Manager. See Contact Us.
  • You don't need an existing financial planning model.
  • You do need Workday HCM. If you don't use Workday HCM, use the personnel planning sheet that comes with your financial planning model to manage your workforce. Or, contact us to discuss other options.

Workday custom reports let you pull data from Workday into your Adaptive Insights instance. Use Workday's Customer Central to migrate custom reports from the foundation tenant (WDSETUP) to your tenant.

The calendar of your instance begins with January and ends with December. The calendar periods are years, quarters, and months. You can set up your calendar differently with Flexible Time Modeling.

Your instance includes a Workday credential in Adaptive Insights's Design Integrations. You must edit the credential to connect to Workday HCM.

Import Data and Run the Loaders


Your instance includes Workday as a data source and thirteen preset loaders. From Adaptive Insights's Design Integrations, select Import Data in the Workday data source. Then, run the loaders in a specific order. You can also schedule tasks to run your loaders at regular intervals. This ensures that your Adaptive Insights data stays up-to-date.

Understand Your Security Structure


Your instance includes access rule-based security. You can manage user access to data and areas of your model with a combination of permissions, version access controls, access rules and settings for levels, accounts, and sheets.

Your version has seven preset roles that you can assign to users. Roles give users permission to access various parts of the model. Use the roles as-is, create roles, or edit the preset roles.

If you sync your Workday users with Adaptive Insights, you must assign each user a role. If you don't sync your users, create user IDs first. As a final step, create access rules for your users.

The way you assign sheets depends on the kind of sheet:

  • User assigned sheets: Assign directly to users. Direct them to the nav menu > Sheets.
  • Level assigned sheets: Assign to levels. Users can access the sheets if their access rules include the levels. Direct users to the nav menu > Assumptions.

Prep the Sheets with Data


The data loaders populate some sheets, but other user-assigned sheets must have data in the workforce planning model. This data populates and drives data in other sheets that are important to the planning process. Get data into the following sheets using loaders, spreadsheet imports, APIs, or entering the data manually. 

  • Locations Assumptions sheet.
  • Job Profile Salary Ranges.
  • All Assumptions.
