Create a Scorecard

A scorecard is a chart that helps to answer "how are we doing?" You can add a scorecard to an executive summary to present business performance in a concise visualization.

The following is an example of a financial scorecard for quarterly financial reviews. This article explains how to create this scorecard.

Example Scorecard Showing Financial Metric

You will learn how to create three sections with columns that visualize plan-to-actuals for the quarter (Q2 2016), to-date actuals for the year (FY2016), and forecast for the next year (2017). This example uses the default version Working Budget and the following accounts:

  • Revenue (General Ledger account)
  • Net Income (General Ledger account)
  • Gross Margin % (Metric account)

Your versions and data sources may be different than the ones illustrated in this example.

A scorecard is composed of rows and columns in sections, where:

1 A row represents an account.

2 A column represents a slice of data based on data type, time alignment, version, and data range.

3  A section groups like sets of data, such as quarterly results, to-date yearly actuals, and forecasts of future results.

4 Each column and section in the scorecard are settings in the Appearance Settings tab.

Scorecard Defaults

Once you add accounts to the scorecard, you see default sections and columns.

  • Default Sections: The sections are based on the calendar configuration of your instance. For example, if your instance calendar includes Month > Quarter > Year, your scorecard has three sections called Month, Quarter, and Year.
  • Default Time: The default time setting of your scorecard is always current. For example, if it is May 5, 2016, the data on the scorecard is for May, Q2, and FY 2016.
  • Default Columns: Each of the time period sections has a set of starter columns. These starter columns represent common scorecard settings. Starter columns include:

[Period] Actuals Value - Actuals Shows actuals data as a numeric value for period set in the Time Settings.
[Period] [default version] Value - From Version Selector Shows data from the default version as a numeric value for the period set in the Time Settings. The column title will vary based on your default version.
[Period] Variance Variance - Actuals Shows the difference between actuals (reference version) and the default (comparison version)  as a numeric value for the period set in the Time Settings.
[Period] Micro Chart Micro Chart - From Version

Shows data from the default version as a micro line chart for the default year set in the Time Settings . The chart shows increments of the smallest time period on the chart. 

Does not show for the smallest time period on the chart. For example, the month section won't have a micro-chart if month is the smallest time period on your instance calendar.

Add a Scorecard to a Dashboard

These steps explain how to configure a scorecard using options from Appearance Settings and Time Settings. No changes to Data Settings are required for this example. The scorecard will look like the following after doing these steps:

  1. Create or navigate to the perspective and dashboard for the new chart.
  2. Click Edit Icon on the toolbar to edit the dashboard.
  3. On the left panel, click Chart Tab to choose a chart. Drag and drop Crosstab Chart Icon to add the scorecard to the chart editor.
  4. Click Account Tab to choose accounts. Drag and drop the following accounts to the scorecard: 
    • From General Ledger accounts: Revenue and Net Income
    • From Metric accounts: Gross Margin %

Set up Time on the Chart

  1. Click Time Settings Tab in the right panel to open the Time Settings tab.
  2. Change Stratum to Quarter.

  3. Pin time by clicking Pinned Icon and choose Q2-FY16.

Rename a Scorecard Chart

  1. In the right panel, click Appearance Settings Tab to edit Appearance settings.
  2. Expand the General section and enter a new name. Rename to Financial Metrics.

Change the Sections 

You will edit the default sections:

  • For the quarter section, you'll keep actuals, plan, and variance.
  • For the year, you'll only include actuals with a microchart.
  • You'll delete the month.

The scorecard will look like the following after doing these steps:

Delete Sections

Click Appearance Settings Tab in the right panel. Expand Sections and click the X to the right of the Month section,  or any section smaller than Quarter, to delete it:

Arrange Columns in a Section

You will rename the Quarter section, reorder its columns, and delete one of its columns.

  1. Expand the Quarter section to see its columns. Rename the section to Quarterly Snapshot.

Starter Columns

  1. Review column settings. Keep the defaults on each column and remove the Micro Chart column from this section. Expand each column to display the settings:

a Value - Actuals. Keep the defaults.

b Value - From version selection. Keep the defaults. 

c Variance - Actuals. Keep the defaults. 

d Micro Chart - From version selection. Click x next to the column setting to remove from the column from section and click OK to confirm. In the next step, you'll add a micro chart to a new section. You cannot move a column to another section.

  1. Reorder the columns in the chart. Drag the first column a Value - Actuals and drop after the column b Value - From version selection.
  2. Collapse the Quarterly Snapshot section.

The Quarterly Snapshot section now shows Q4 results by budget, actuals, and variance for each account in the scorecard.

Change Column Settings

You will change the Year section and change the defaults to show year-to-date actuals only. 

  1. In the right panel, expand the Year section, and rename the section to To-Date Actuals.
  2. Delete all the columns, except Value - Actuals and Micro Chart. 
  3. Expand the Value - Actuals column  and rename to To-Date Actuals
  4. Change the following settings:
    • Type to Value
    • Version to Actuals
    • Time Alignment to Current
    • Period to Year
    • Data Range to To Date

The section changes to To-Date Actuals and the column header changes to Jan to Dec 2016 PTD Actuals.

  1. Expand the Micro Chart column. Change the following settings to create a micro chart that shows to-date actuals by month.
  • Type to Micro Chart
  • Version to Actuals
  • Time Alignment to Current
  • Period to Year
  • Date Range to To Date
  • Chart to Area
  • Breakdown Period Level to Month

The column header changes to Jan to Dec 2016 PTD Micro Chart.

Create a Section to Show a Forecast

You will add a section that represents a forecast. The scorecard will look like the following after doing these steps:

  1. Click the New Section icon to create a new section:

  2. Expand the section and rename to Forecast.
  3. Expand the column, Value - From version selector. Change the following settings to show expected metrics in 2017 based on the forecast:
    • Type to Value
    • Version to Forecast
    • Time Alignment to Next
    • Period to Year
    • Offset Count to 1 (sets the relative period to 1 year in the future based on the current period)
    • Keep all other defaults

The column header changes to 2017 Foreca.
