How to Change Version Availability Settings on Multiple Levels at Once

In this article, we will explore how to assign version availability to multiple levels at once. 

To provide some background, it is currently not possible to adjust version availability on levels by itself via a structural update. When you download a printable view of levels, there is a column for version availability, however changing those text values does not do anything currently. We have an enhancement coming in a future release of the software to address this function. 

However, there is a workaround available to change version availability on multiple levels at once and this is what we will explore in this article. Before we start, I do want to provide a disclaimer that this will delete data on levels in all versions that are made unavailable. It may also remove any modeled rows that are present in that version or versions. 

With that out of the way, let us continue with the workaround. 

What needs to be done is:

  1. Make sure we have a parent level, either newly created or an existing level that is already set to be unavailable in the version or versions that we want.
    • If you must create a new parent, go ahead and create it and set the version availability on it to be unavailable (or available) in the version that you need
  2. Download a printable view of all your levels
  3. Find Column D or the "Rolls up to" column
  4. Find all the levels that you need to change the version availability on 
  5. Change the Rolls up to field on these levels to the parent we spoke about before that already has version availability set the way that you need.
  6. Save the printable view. 
  7. Back in adaptive, click on "Import org. structure" button and make sure that the radio button is set to "Update"
  8. Then, select our saved file and click "Upload"
    • If there are any errors with the file, the system will not perform the import and provide you with the list of errors. Please correct them and try once more. 
  9. Check the org. structure. Are all the levels that needed to be re-parented where they need to be?
  10. If yes, then proceed to check their version availability. Are they available/unavailable in the desired version?
  11. If yes, then we can proceed to the last step.
  12. Open the level file again that we have saved. 
  13. Change the rolls up to field on the levels once more to the parent that they previously rolled up to. 
  14. Make sure everything looks the way it should and save the file
  15. Come back to Adaptive, click on "Import org. structure" button and make sure that the radio button is set to "Update"
  16. Then, select our saved file and click "Upload"
    • If there are any errors with the file, the system will not perform the import and provide you with the list of errors. Please correct them and try once more. 
  17. Once uploaded, check the levels. Are they rolling up properly to their intended parent? 
  18. If yes, check the version availability setting. Does it look the way you intended?
  19. If yes, we are finished.
