Multi-Instance Solution - Refresh Linked Level(s)

Users with the Refresh Linked Levels permission can refresh the data in the parent instance so that it is synchronized with the data in the child instance. You can refresh each version independently.

 

Column Descriptions

The columns on the Refresh Levels page vary depending on whether you are refreshing one level or all of them. The possible columns are:

  • Version Name: The target versions in your current (parent) instance are listed in this column. Locked versions appear in the list, but do not have a refresh button and cannot be refreshed.
  • Default: The default version is indicated by the check mark in this column.
  • Last Refresh: This column includes the name of the user who performed the last refresh on this version as well as the date and time of the last refresh.
  • Source Version: This column displays the version in the linked instance from where the data was pulled during the last refresh. If a target version has not been refreshed from a source version, this column is blank.
  • Refresh: Clicking the refresh buttons in this column brings up a dialog that allows you to select a source version from the child instance, and then refresh the selected row's version in the parent instance.

Refreshing Levels

Levels can be refreshed individually or all at once.

To refresh an individual level, do the following:

  1. On the Manage Organization Structure screen (Modeling > Model Management click Levels), locate the linked level you want to refresh in the organization structure tree and click it to select it.
  2. Click the Linked Level button to display its menu and select Refresh Linked Level.
    The Refresh Linked Level screen appears.
  3. Click the Refresh button next to the version you want to refresh.
    If you are refreshing an actuals version, that actuals version is refreshed from the total actuals version of the linked instance. No further steps are needed.
    If you are refreshing a plan version, continue to the next steps.
  4. When you click the Refresh button for a plan version, a dialog box appears with a list of source versions. Choose the source version from which you want to refresh the target version. If you want to refresh an actuals version as well, select the actuals version to refresh from the Import into actuals menu.
  5. Click Refresh.

To refresh all linked levels at once, do the following:

  1. On the Manage Organization Structure screen (Modeling > Model Management click Levels), click the Linked Level button to display its menu and select Refresh All Levels.
    The Refresh All Levels screen appears.
  2. Click the Refresh icon next to the version you want to refresh.
    If you are refreshing an actuals version, that actuals version are refreshed from the total actuals version of the linked instance. No further steps are needed.
    If you are refreshing a plan version, continue to the next steps.
  3. When you click the Refresh button for a plan version, a dialog box appears with a list of source versions. Choose the source version from which you want to refresh the target version. If you want to refresh an actuals version as well, select the actuals version to refresh from the Import into actuals menu.
  4. Click Refresh.

Linked Level Currency

No currency conversion is done during the refresh. Make sure that the currency in your linked plan matches the Corporate Currency in the child instance.
