Roles and Permissions

Introduces roles, permissions, and the role templates you can use.

You assign roles to users to give them access to areas of the Adaptive Suite. A role is a set of permissions that defines what a user can see and do in the Adaptive Suite. For example, an Administrative role generally has all or most of the available permissions, which gives users with the Administrative role access to all or most areas of the Adaptive Suite. A budgeter may only need to access sheets and nothing else. That role may only contain a few permissions.

You can assign one role to several users, but each user can have only one role. 

Every instance comes with predefined roles, depending on the license. Review these and update their permissions as needed, or create additional roles.

Roles Versus Access Controls

Role permissions control the actions users can take, and the areas in the Adaptive Suite users can see or access: certain fields, sections, and services. For example, a user without Admin Access permission cannot see Administration in the navigation menu or gain access to the Administration screens. A user with Admin Access permission can see Administration in the navigation menu, but without User permissions, the user can't create and edit users. Without Roles permissions, the user can't edit and create roles.

Data access controls are not related to permissions. Access controls limit the data users can view. For example, you can choose the levels and versions that users see and don't see.

Level access is set up in the User Profile (see Create or Edit Users) or in Model > Levels (see Levels). Version access is set up when you create or edit versions

From the navigation menu, click Administration. Then click Roles and Permissions

1 Actions: Click Edit to add or remove permissions from the role, Delete to remove the role, or Assign to give the role to multiple users. 

2 Roles: Click the role name to view its permissions. 

3 Buttons: Click New Role to create a new role or Export Role Permission to download to an Excel file.

Role Templates

A role template pre-selects a set of permissions for you. The role templates are View Only and Full Seat.

View Only Roles

The View Only template has limited permissions and is intended for users who should only have view access to data. It's is also a good place to start for creating a limited role or for building a role from the ground up. Remove or add permissions to the template to define your new role or leave it as is.

Full Seat Roles

The Full Seat template has almost all the available permissions and is intended for administrator users. It's a great place to start if you are creating or editing an Administrative role. Remove or add permissions to the template or leave as-is.

Permissions that are not selected in the Full Seat template: 

  • Integration Developer: allows the user to create data connectors using APIs.
  • Configured Calendar: allows the user to update the calendar setup.
  • Structure Import: allows the user to import model structures, such as level, accounts, and so on.
