Roles and Permissions

Roles control how users are granted permission to perform actions in your Adaptive Planning. Initially, there are five roles that correspond to the different levels of seat licenses you can purchase from Adaptive Insights: Standard User, Analysis User, Report Only User, Administrative User, and Discovery-Only User (Discovery only). You can create any number of additional roles and edit roles already in Adaptive Planning.

Use Roles and Permissions to add new roles and manage existing roles and permissions. To assign roles to users, refer to User Administration.

Add a New Role

To add a new role:

  1. Navigate to: Administration > Roles and Permissions.
  2. Click New Role.
  3. Add a Role Name
  4. Set Role Permissions as desired.
    • You can start with a default set of permissions for the role and add or remove permissions. See Permissions below. 
    • If you prefer, you can start with a View Only or Full Seat template. The View Only template has only a few permissions set. The Full Seat template has almost all permissions set. You can alter the permissions to suit the new role you are creating. 
  5. Submit the new role.  


Permissions allow users to:

  • Access Sheets: View level-assigned sheets on the levels to which the user has access. This permission does not include any write access.

    • Editable Sheet Access: Edit any editable fields on the sheets to which the user has access.

      • Edit Dimension on Sheet: Edit dimensions marked as editable on cube and modeled sheets. The dimensions must be set as editable in the appropriate sheet builder.

  • Access Reports: Run existing reports and create new reports.  A user with this permission can also create folders in his or her Personal Reports folder.

    • Create Shared Reports: Create reports that a user can share with others. 

    • Modify All Reports: Make changes to other users' reports and save the report as the same name.  A user with this permission cannot delete a report authored by another user. 

    • Manage Shared Report Folders: Create and manage folders in the Shared Reports folder.  

    • Email Reports: Email reports from the report context menu or from the report viewer. A user with this permission can also create email groups on their My Profile screen.

    • Upload Files: Upload static files and save them as Static Reports.

    • Access OfficeConnect: Allows a user to access OfficeConnect, including building and running reports from OfficeConnect

  • Access Discovery: View and launch Discovery tasks.

    • Visualize Data from Modeling Engine (Planning and Consolidation Data): See data from the Adaptive Planning data store.

    • Visualize Data from Analytic Engine (Operational Metrics): See data from the Adaptive Planning Discovery data store.

    • Edit Personal Discovery Dashboards: Create and modify Discovery dashboards for personal use and share components with others.

    • Edit Company Discovery Dashboards: Create, modify and assign user access to Discovery dashboards that can be viewed by all users.

    • Use Analysis Tools: Use Discovery analysis tools such as trend lines and statistical analysis.
  • Integration Operator: View and launch Integration tasks

    • Data Designer: Set up data sources, loaders, tasks and user permissions for Integration.

      • Integration Developer:  Use JavaScript to define the behavior for each of the standard data source actions (test connection, import structure, import data, and preview data).

  • Access Consolidation: View and launch Consolidation tasks.

    • Consolidation: Manage consolidation percentages and manage elimination rules.

    • Reclassification Rules: Manage reclassification rules.

  • Access Salary Detail: See sheets, reports, account information, and modeled sheets that have been set to require the Salary Detail permission.
  • Import Capabilities: Import data to any standard, modeled, or cube sheet and applies to flat file import, NetSuite integration import, and connector and hosted connector import. With this permission, users can import data to any account/level combination. 

    • Import To All Levels: Imports data to all levels. If this permission is not granted, users can only import to levels they can access.

      • Erase Actuals: Erase numeric data in actuals (using Import > Erase Actuals).

  • Export Capabilities: Export data from a version to a .csv file. Unlike the Import Capabilities permission, users can only export data from the levels to which they have access. 

  • Privileged Actuals Access: Assigns the user to a group which can be granted special access to some sub-versions of actuals.

  • Access Transactions: Drill from sheets, reports, and cell explorer to view data imported to the Transaction Reporting & Analysis module.

  • NetSuite Setup: Configure the initial NetSuite connection to link an Adaptive Planning instance to a NetSuite account. This option is only visible if NetSuite SSO is enabled within Administration > General Setup.

    • Drill Into NetSuite Imported Numbers: Drill into numbers imported from NetSuite.

    • Export Budgets To NetSuite: Export data directly into a NetSuite budget category.  Requires Export Capabilities permission. This field is only enabled if the Export Capabilities permission is selected.

  • See Who is Online: See which users are currently logged in.

  • Approve Levels: Allows a user to approve levels (provided they have ownership of the parent level). This field is enabled only if Workflow is enabled. 

  • Model Management Access: Permission to update various features associated with models. 

    • Model includes: Create, edit, and delete accounts, currencies, sheets, and shared formulas on the Formulas screen. Within Integration this permission allows the user to view all items in the Data Designer, regardless of whether the user has been granted edit permission for the item.

    • Organization Structure: Create new levels, edit existing levels, and assign level access. Select which level of access the user should have:

      • All Levels: Create, edit, and delete levels throughout the organization structure.

      • Accessible Levels Only: Create, edit, and delete levels only if the levels are descendants of a level to which the user has access.

    • Versions: Create, edit, delete, and hide versions.

    • Time: Access the Time Administration screen. Allow creating locales, adding/modifying labels and extending the defined time for an instance. Does not allow changes to the time structure.

      • Configure Calendar: Configure the calendar and clear data.

    • Dashboards or Announcements: Create, modify, delete and share dashboards/announcements with other users.

    • Assumptions: Access the assumptions tab, including all user-assigned sheets.

      This does not give users access to view any user-assigned sheets.  This is assigned on an individual sheet basis and to each user individually.

    • Structure Import: Import level, account, and dimension structures. 

    • Allocation Rules: Manage allocation rules.

    • Transactions: Manage the transaction field definition.

      • Access Transactions: Use drill through and reports to view imported transaction data.

    • Currencies: Manage currencies, including setting up exchange rate types.

    • Consolidation: Manage consolidation percentages and elimination rules.

      • Reclassification Rules: Manage reclassification rules.

  • Admin Access

    • UsersCreate, edit, and delete users and their profiles.

    • Roles: Create, edit, and assign roles and permissions.

    • Manage Global User GroupsCreate, modify, and delete global user groups.  

    • General Setup: Edit general settings, including visual preferences.

  • Access Process Tracker: Access Processes Tacker tasks.

    • Complete Tasks Assigned to Self: Mark self-assigned tasks as complete or incomplete, with read-only access to other tasks and processes.

      • Complete Any Task: Mark any tasks as complete or incomplete.

        • Manage Tasks: Create, edit, and delete tasks, with read-only access to processes.

          • Manage Processes: Create, edit, and delete all processes and tasks.

  • SAML: Manage SAML single sign-on settings and test SAML single sign-on before enabling for all users. 

Manage Roles

To view roles, navigate to: Administration > Roles and Permissions. Actions you can perform on this page include: 

  • To update permissions for a role, click Edit. Make changes as desired, then click Submit.   
  • To delete a role, click Delete. Then, click OK to confirm. If the role you are deleting is currently assigned to users, a Reassign Users page appears. Assign users to another Role, and click Submit. You cannot delete a role with users still assigned. 
  • Export Role Permissions: Exports role permission details to an Excel spreadsheet. 

Assign Roles to Users

To assign roles to users, use one of the following methods:

  • Navigate to: Administration > Users.
    • Locate a user from the list and click Edit.
    • When the user details appear, select a Role and click Submit.
  • Navigate to: Administration > Roles and Permissions.
    • Locate a role from the list and click Assign.
    • Select the Available Users you want to assign to the role.
    • Click the right arrows (>>) to move the users to the Selected Users list. 
    • When you've finished selecting users, click Submit
